HOW TO VERIFY YOUR GYM'S GOOGLE BUSINESS PROFILE

Richard Magallanes·

Key Takeaways

  • You cannot edit key details, respond to reviews, or appear prominently in local search until your GBP is verified
  • Google offers multiple verification methods — postcard, phone, email, video, and instant — but you don't get to choose; Google assigns the method based on your business type and history
  • The most common method for gyms is still postcard verification, which takes 5-14 business days
  • Failed verifications are usually caused by address mismatches, incomplete profiles, or requesting a new code before the old one arrives
  • If verification fails multiple times, video verification is your best fallback

Introduction

You've set up your Google Business Profile, added your gym's details, uploaded a few photos — and now you're staring at a big yellow banner that says "Verify this business."

Until you verify, basically nothing works properly. Your listing won't show up in the local map pack. You can't respond to reviews. You can't post updates. You're invisible.

I reckon this is the step where most gym owners either rush through and make mistakes, or get frustrated and abandon the whole thing. Neither is a good outcome.

This guide walks you through every verification method Google offers, what to do when verification fails (because it does, more often than you'd think), and the exact timeline you should expect.

If you haven't created your GBP listing yet, start with our setup guide first, then come back here.

Verification Methods Explained

Here's the thing that trips people up: you don't pick your verification method. Google assigns one (or several options) based on factors like your business category, how long you've been operating, and whether Google can independently confirm your business exists.

Postcard Verification

How it works: Google sends a physical postcard to your gym's address with a 5-digit verification code. You log into GBP, enter the code, done.

Timeline: 5-14 business days in Australia. Sometimes faster in metro areas (Sydney, Melbourne, Brisbane), sometimes slower in regional areas.

What to do:

  1. Make sure your address is entered correctly — unit number, street number, suburb, postcode. Double-check against Australia Post's address format.
  2. Request the postcard through your GBP dashboard.
  3. Wait. Don't request a second postcard for at least 14 days — each new request invalidates the previous code.
  4. When it arrives, log into business.google.com, click "Verify now," enter the code.

Common issue for gyms: If your gym is in a commercial complex or shopping centre, make sure the unit/suite number is correct. A boxing gym in Parramatta had their postcard go to the wrong unit because they listed "Shop 4" instead of "Unit 4" — which is what Australia Post had on file.

Phone Verification

How it works: Google calls or texts your listed business phone number with a verification code.

Timeline: Instant (usually within 60 seconds).

What to do:

  1. Make sure the phone number on your GBP is a number you can answer right now.
  2. Select phone verification.
  3. Answer the call or read the SMS.
  4. Enter the code.

Important: This must be a phone number associated with the business, not a personal mobile (unless your personal mobile IS your business number, which is common for smaller gyms). Google may not offer this method if they can't match your number to existing business records.

Email Verification

How it works: Google sends a verification link to an email address associated with your business domain.

Timeline: Instant (check spam folder).

What to do:

  1. You'll need an email on your business domain (e.g., info@yourgym.com.au). Gmail or Hotmail addresses usually don't qualify.
  2. Select email verification.
  3. Check your inbox (and spam/junk folder).
  4. Click the verification link.

Example: A CrossFit box in Tuggerah had email verification available because their website domain matched their GBP listing. Their coach running a separate PT business under a Gmail address had to use postcard verification instead.

Video Verification

How it works: You record a short video showing your business location, signage, and proof that you're authorised to manage the business.

Timeline: Review takes 1-5 business days after submission.

What to do:

  1. Record a continuous (unedited) video on your phone.
  2. Start outside showing the street address and signage.
  3. Walk inside showing the facility.
  4. Show proof of management — a utility bill, lease agreement, or business registration with the address visible.
  5. Upload through the GBP dashboard.

Tips for gym owners:

  • Film during business hours when the gym is clearly operational
  • Show your signage clearly — if it's a shared building, show the directory board too
  • Have your ABN certificate or lease ready to hold up to the camera
  • Keep it under 2 minutes — Google doesn't need a tour, just proof

Video verification has become more common since 2024, and it's often the method Google defaults to when other methods fail.

Instant Verification

How it works: If you've already verified your business through Google Search Console (your website), Google may offer instant verification.

Timeline: Immediate.

Who gets this: Gym owners who already have their website verified in Google Search Console AND the website domain matches the GBP listing. This is pretty rare for gym owners unless you've done SEO work before.

Bulk Verification

How it works: For businesses with 10+ locations.

Who gets this: Gym chains and franchise operations. If you're running a single location, this doesn't apply. If you're a franchise with multiple locations, contact Google directly through the GBP support channel.

Step-by-Step: The Verification Process

Regardless of which method Google assigns, the process follows the same flow:

Step 1: Complete Your Profile First

Before requesting verification, fill out as much of your profile as possible:

  • Business name (exact legal or trading name)
  • Address (exactly as it appears on your lease or utility bills)
  • Phone number
  • Website
  • Business hours
  • Category (primary: Gym, Fitness Centre, Boxing Gym, etc.)

Why this matters: Google cross-references your details against other data sources. The more complete and consistent your information, the smoother verification goes. A martial arts academy in Bankstown had verification delayed because their GBP said "Bankstown" but their website said "Bass Hill" — technically the same area, but the mismatch caused a flag.

Step 2: Request Verification

Log into business.google.com, select your listing, and click "Get verified" or "Verify now."

Google will present the verification method(s) available to you. If you see multiple options, phone or email is fastest. If only postcard is available, that's your path.

Step 3: Complete Verification

Follow the steps for your assigned method (detailed above).

Step 4: Confirm Verification Status

Once verified, you'll see a blue "Verified" badge on your listing in the GBP dashboard. Your listing will start appearing in Google Maps and local search results within 24-72 hours.

Troubleshooting Failed Verification

"Postcard Never Arrived"

This is the most common complaint. Before panicking:

  • Wait the full 14 business days (not calendar days)
  • Check with your building manager, neighbours, or anyone who handles mail
  • Make sure the address format is exactly right

If it genuinely hasn't arrived after 14 days, request a new postcard. The old code will be invalidated.

Gym-specific issue: If your gym is in a commercial or industrial area, mail delivery can be inconsistent. A gym in an industrial estate in Penrith had their postcard go to the wrong unit twice. They eventually solved it by adding "C/O [Owner Name]" to the address and asking the building manager to watch for it.

"Code Didn't Work"

  • Verification codes expire after 30 days
  • Codes are case-sensitive — enter exactly as printed
  • Each new postcard request invalidates previous codes, so only use the most recent one
  • Don't change your business name or address while waiting for verification — this can invalidate the code

"Verification Denied"

Google may deny verification if:

  • Address doesn't match records: Your address needs to match what's in government business registries, Australia Post databases, or other verified sources
  • Business doesn't appear legitimate: No signage, no web presence, no evidence the business exists at that address
  • Duplicate listing: There's already a verified GBP for a business at your address (common when taking over a gym space from a previous owner)
  • Category mismatch: You selected a category that doesn't match what Google can see about your business

"Stuck in Pending" for Weeks

If your verification has been "pending" for more than 5 business days (for video) or 14 business days (for postcard), contact Google support:

  1. Go to support.google.com/business
  2. Click "Contact us"
  3. Select "Verification issues"
  4. Use the chat or phone callback option — avoid email support for verification issues, it's slower

Taking Over a Previous Gym's Listing

This is common in the fitness industry. You lease a space that used to be another gym, and their old GBP listing is still live.

What to do:

  1. Search for the old listing on Google Maps
  2. Click "Suggest an edit" and mark it as "Permanently closed" or "Doesn't exist"
  3. Create your own new listing at the same address
  4. If Google flags it as a duplicate, contact support and explain the situation — have your lease agreement ready as proof

A boxing gym in Marrickville took over a space that used to be a yoga studio. The old yoga studio's GBP was still showing up in searches with outdated hours and photos. It took about 2 weeks to get the old listing removed and the new one verified, but having the signed lease ready sped things up significantly.

How Long Until You Show Up in Search?

After verification:

  • Google Maps: 24-72 hours
  • Local pack (map results in Search): 1-2 weeks for initial appearance
  • Competitive ranking: Ongoing — verification is step one, optimisation is everything after

Verification doesn't mean you'll immediately rank #1 for "gym near me." It means you're in the game. What you do next — adding photos, collecting reviews, posting updates — determines where you rank.

What to Do Immediately After Verification

Once that blue "Verified" badge appears:

  1. Add 10+ photos across different categories (see our GBP photos guide)
  2. Write your business description — 750 characters max, include your key services and suburb
  3. Set your service area if you serve beyond your immediate suburb
  4. Create your first Google Post — a class schedule, a welcome message, or a current promotion
  5. Set up the messaging feature if you want direct enquiries through Google
  6. Ask 5 existing members to leave reviews — those first reviews build momentum

Common Mistakes

  • Requesting multiple postcards too quickly. Each new request cancels the previous code. Wait the full 14 days before requesting again. Patience is genuinely the fix here.
  • Changing business details during verification. Editing your name, address, or category while waiting for a postcard will often void the pending verification and force you to start over.
  • Using a virtual office or PO Box address. Google requires a physical address where customers can visit. PO Boxes and virtual offices will be rejected. Your gym has a physical address — use it.
  • Not matching your name exactly. If your ABN says "Smith Fitness Pty Ltd" but you trade as "Iron Athletics," use your trading name — but be consistent across your website, social media, and GBP.
  • Ignoring the listing after verification. Verification is the starting line, not the finish line. An unoptimised verified listing barely performs better than an unverified one.
